Filtered Views

Filtered Views in NileDesk let you create customized perspectives of your data by selecting which columns to display, applying filters, and setting sorting preferences. Instead of manually searching or adjusting settings each time, you can save these configurations as reusable views.

Filtered Views are supported across all template types — including Process Flows, Boards, Datasets, and Data Forms.

This feature ensures that users always have quick access to the most relevant records without unnecessary noise.

Where Filtered Views Are Supported

  • Process Flows – Create filtered views for process item lists.
  • Boards – Create filtered List view for board item or custom views for board cards in kanban.
  • Datasets – Create filtered views for frequently used data queries.
  • Data Forms – Create filtered views for frequently used data queries.

Creating a Filtered View

  1. Click the “+” button next to the default view in template workspace.
  2. Enter a clear and descriptive name for your view.
  3. Click Select Visible Fields and choose the fields you want displayed.
  4. (Optional) Add filters to narrow down your results.
  5. Select your sorting preferences (e.g., newest first, alphabetical, by due date).
  6. Click Save – your view will now appear alongside existing views.

Example Use Case

Suppose you are managing a Sales Process Flow with hundreds of records. You frequently need to see only:

  • Orders with Status = “Pending”
  • Orders with Amount > $500
  • Sorted by Due Date (earliest first)

Instead of manually applying these filters each time, you can create a Filtered View called “High-Value Pending Orders.”

From then on, selecting this view will instantly display only the orders that match your criteria.

Sharing Filtered Views

  • General Users: Can access and use filtered views.
  • Developers / Full Access Users: Can modify, rename, delete, and share filtered views with others.
